How Does It Work?
Your help desk administrator sets up a POP email to be used by Dapper
Desk to receive emails. Your users/customers can then send emails to this
support address and the help desk will turn
each email it receives into a ticket, with a unique tracking number
in the subject. (Your Customer Service Reps never need to check their
email, they simply login to Dapper Desk and check the ticket queue).
For example, John Doe has an email address "john@doe.com". He
sends an email to your support email for the first time. This is what
happens.
1. The help desk will check your email queue once every minute.
2. It will see John Doe's email and it will download it into the help
desk.
3. Dapper Desk then checks John Doe's email address against the internal
Dapper Desk "Verified List" or what some people refer to as
a "White List".
4. Since this is John Doe's 1st email to the help desk, Dapper Desk will
not see his email address on the "white list".
5. Since the email is not "verified", Dapper Desk will put his
email/ticket on hold (it will not yet be visible to your Customer Service
Reps in the ticket queue).
6. Dapper Desk then sends an automated email back to John Doe, explaining
that this is his first time sending email to the help desk and asking
him to click on a link in the automated email to confirm and verify his
email address.
7. John receives the automated email, clicks on the verification link
and is sent to a thank you page informing him that his email address is
now on the help desk "white list".
8. Dapper Desk then "frees up" his first email and his ticket
now becomes visible in the ticket queue and can be responded to by the
customer service reps.
9. Dapper Desk inserts John Doe's email address into the internal "white
list" so that it will recognize John Doe the next time he sends a
support request to Dapper Desk via email. John only verifies his email
one time. He will never have to verify again unless he changes his email
address.
How Does This Stop Spam?
It is a documented fact that most spam comes from "professional"
spam clearing houses with bogus "from" email addresses. Thus,
autoreplies sent to the origin email of most spam email is never responded
to. Further, the Dapper Desk Spam Blocker does not white list an email
address by reply. It requires the person to manually click a link in the
email and then to take a second manual step of clicking a "confirmation"
button on the verification page. Thus, a human must complete two steps
to confirm their email, making it highly unlikely that a "lazy"
spammer will make the effort.
The Result?
A help desk queue that is virtually 100% free of spam email!
Note: Spam Blocker is an internal Dapper Desk script and only works on
your help desk support email address.
